Requirements:

  • GCSEs (or equivalent), including English and Maths.
  • Relevant vocational qualification equivalent to Microsoft Office MOST, ECDL, or similar.
  • City & Guilds/NVQ Level 2 or equivalent experience (willingness to complete Level 3 within a reasonable timeframe).
  • NVQ in Customer Service or equivalent experience.
  • Experience providing customer-focused service and using Microsoft Office packages.
  • Excellent communication skills, including handling distressed individuals.
  • Demonstrable comfort with IT systems and willingness to learn.
  • Strong organizational skills and a flexible approach to work.

Salary Details:

£24,071 per annum, pro rata for 20.5 hours per week (worked on alternating weeks).

About the Role:

This isn’t your typical telephonist role. You will be the voice of Yeovil District Hospital, answering and directing calls, responding to emergencies, and providing vital support to staff, patients, and visitors. You’ll also manage the main reception and car park intercom out of hours. This role is perfect for someone who enjoys a diverse workload and making a difference in a healthcare setting. This position involves working alternating weeks, allowing for a good work-life balance. You’ll primarily be covering evenings, nights, and a Saturday shift every other week. The team is supportive and dedicated to providing top-notch service.

Key Responsibilities:

  • Operating the hospital switchboard, answering calls promptly and courteously, and directing them to the right departments or personnel.
  • Responding to emergency calls, following established procedures, and contacting the appropriate emergency teams. Your quick thinking and calm demeanor will be essential in critical situations.
  • Managing out-of-hours payments, storing valuables, and providing reception duties. Your attention to detail and security awareness will be vital.
  • Locating on-call staff to address urgent issues, ensuring a timely response to problems.
  • Following established procedures for fire alarms, major incidents, and emergencies.
  • Communicating effectively with a diverse range of individuals, including distressed or anxious callers. Your empathy and communication skills will help create a positive experience, even in challenging situations.
  • Allocating accommodation and issuing keys using the Trust’s booking system.
  • Informing relevant staff about medical gas shortages, fire alarms, and other alerts.
  • Processing payments for parking, accommodation, and prescription charges, demonstrating accuracy and attention to detail.
  • Assisting with car park inquiries and managing the car park assistance call system.
  • Issuing keys to authorized personnel, maintaining accurate records.
  • Supporting the training and development of new colleagues.
  • Ensuring clear communication and timely action for all alarms and faults 24/7.
  • Maintaining records of actions taken during major incidents.
  • Supporting the Estates and Facilities Management (EFM) helpdesk by reporting faults and assisting the EFM admin team.
  • Booking contract taxis and maintaining records.
